We are seeking a dedicated, reliable, organized, and detail-oriented Part-Time Administrative Assistant to join and support our team. This is a vital role that requires strong administrative skills and an understanding of the need for confidentiality and professionalism in a clinical environment.
You will be joining a warm, supportive team, including a full-time secretary, and will help ensure the smooth day-to-day operations of the center. You’ll assist with a variety of administrative tasks to ensure our office runs efficiently and our clients receive the best possible care.
Working schedule: 4 hours per day (20 hours per week), preferably 3:00 PM - 7:00 PM, Monday through Friday
Responsibilities:
- Answering phone calls and responding to emails in a professional and timely manner
- Scheduling appointments and managing KESY’s calendar
- Assisting with patient intake paperwork and maintaining confidential client records
- Assisting in preparing reports, correspondence, and presentations
- Handling billing and insurance processing (training provided)
- Organizing office supplies and assisting with general office tasks
- Collaborating and supporting KESY’s staff and other administrative staff and perform additional duties as assigned
- Managing, updating and maintaining records and ensuring accuracy and compliance with confidentiality regulations and organizational protocols
- Providing general administrative support, including data entry, filing, and scheduling to the full-time secretary and other staff members
Qualifications:
- High school diploma or equivalent; additional administrative training or certification is a plus.
- Prior documented administrative or office experience, ideally in a healthcare or mental health setting
- Excellent organizational and time-management skills.
- Strong attention to detail, organization, accuracy and time management skills
- Ability to maintain discretion and handle sensitive information with confidentiality and professionalism in all aspects of the job
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint etc.) and other relevant software
- Excellent communication skills, both written and verbal, in Greek and English
- A professional, responsible, courteous, and with empathetic demeanor
- Self-motivated, with the ability to work independently and as part of a team
- Flexibility to adapt to changing priorities in a fast-paced environment and in a timely manner
- Preferred Qualifications:
- Experience working in a psychological or therapeutic environment
- Previous experience with scheduling or client management software
