Front Office Support Officer

The Front Office Support Officer is the face of the University and plays a pivotal role as the first point of contact for students, faculty, staff, and visitors. This position is essential in creating a welcoming, professional, and efficient environment, while ensuring the smooth day-to-day operation of the University’s front office.


We are seeking a dynamic and professional individual to join our team as a Full-Time Front Office Support Officer (40 hours per week, Monday to Friday).


Please note that the successful candidate will be required to work two evening shifts per week (12:30 – 21:00).


Key Responsibilities:


  • Act as the first point of contact, delivering a professional and welcoming experience to students, faculty, staff, visitors, and external partners.
  • Manage the front office area, including greeting visitors and directing them to the appropriate departments or faculty members.
  • Handle incoming calls, emails, and enquiries promptly and professionally.
  • Provide accurate information regarding University programmes, services, faculty matters, events, schedules, and campus facilities.
  • Manage incoming and outgoing mail, courier services, and deliveries.
  • Coordinate appointments, meetings, and room bookings, including those involving faculty.
  • Perform general administrative duties, including filing, data entry, document preparation, scanning, and record maintenance.
  • Assist students with general administrative queries, forms, and internal processes.
  • Liaise with academic departments, faculty, and administrative units to ensure effective communication and smooth operations.
  • Maintain office supplies and ensure front office and common areas are organised and presentable at all times.
  • Support the organisation of University events, meetings, and student or faculty activities when required.
  • Escalate urgent issues or complaints to the appropriate department or supervisor.

Qualifications & Experience:


  • Diploma or Bachelor Degree
  • Excellent written and verbal communication skills in both English and Greek.
  • Strong proficiency in Microsoft Office applications.
  • Minimum of 2-3 years of relevant working experience in a similar role.
