Admissions Administrative Assistant

We are seeking an organized and detail-oriented Admissions Administrative Assistant to provide essential clerical and administrative support to the Admissions Department. The ideal candidate will assist in managing daily operations, maintain records, and ensure effective communication within the department and with prospective students.


Responsibilities: 

  • Administrative Support
  • Performs general clerical duties including photocopying, filing, and data entry.
  • Manages correspondence and communication with prospective students, staff, and external stakeholders.
  • Applicant File Management
  • Assists in maintaining and filing applicant records in both electronic and physical formats.
  • Ensures completeness and accuracy of application materials.
  • Scheduling and Coordination
  • Coordinates logistics for departmental events and recruitment activities.
  • Communication and Liaison
  • Acts as the first point of contact for inquiries regarding admissions processes via phone and email.
  • Work closely with the Director of Admissions and other admission officers to execute business development initiatives
  • Review and evaluate applications for admission.
  • Provides accurate information and directs inquiries to the appropriate staff members.
  • Database Management
  • Updates and maintains the admissions management system with current applicant data.
  • Support for Team Initiatives
  • Assists in the preparation of reports and presentations.
  • Supports the admissions team in the development and implementation of departmental projects.
  • Participates in recruitment events, open day events, school fairs, information sessions, exhibitions, school visits and off-campus events.


Professional Qualifications:

  • Diploma in Secretarial Studies or Bachelor’s Degree in Office Administration or Business Administration or equivalent; additional education or certifications in administration is an advantage.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).


Job-Specific Skills:

  • Strong organizational skills with attention to detail.
  • Excellent written and verbal communication skills in both English and Greek languages.
  • Ability to handle confidential information with discretion.
