The University of Nicosia invites applications for the role of Psychology Graduate Programs Administrative Assistant based at the UNIC Nicosia Campus.
The Graduate Programs Administrative Assistant provides high-level administrative and operational support to the graduate psychology programs, including Clinical, Counseling, and School Psychology. This role is essential to the smooth functioning of complex academic and professional training processes, including admissions, student progression, competency evaluation, practicum readiness evaluations, professional readiness examinations, accreditation support, and coordination with faculty, students, and external stakeholders.
The ideal candidate is highly organized, detail-oriented, professional, and able to manage confidential information while navigating multiple specialized workflows with accuracy and discretion.
Key Responsibilities:
Graduate Admissions & Enrollment Support
- Liaise with the Office of Admissions and support in the administration of tasks such as:
- Application tracking and verification
- Initial screening of applicant database
- Communication with applicants regarding specialized requests for information regarding each program
- Scheduling interviews, admissions meetings, and decision notifications
- Maintain program admissions database and ensure compliance with institutional and program-specific requirements
- Serve as a secondary point of contact for prospective students, providing clear and professional guidance
Student Records & Program Progression
- Maintain accurate and confidential student records related to:
- Coursework and enrollment status
- Satisfactory academic performance
- Competency evaluations and milestones
- Track student progress through program benchmarks, including:
- Comprehensive/qualifying exams
- Professional readiness exams
- Remediation plans and outcomes (as applicable)
- Thesis completion
- Generate reports for program coordinators, examining committees, and accreditation reviews
Evaluation & Professional Readiness Processes
- Provide administrative coordination for specialized assessment processes, including:
- Competency evaluations (Practicum Readiness Evaluations and Examinations for Professional Readiness)
- Portfolio reviews
- Annual Progress Evaluations
- Coordinate Examining Committees and maintain records of evaluation and examination outcomes
- Provide support in writing individual Student Evaluation and Progress Report letters to students
- Ensure documentation is collected, archived, and distributed according to policy
- Support faculty committees with materials, minutes, and follow-up actions
Accreditation & Compliance Support
- Assist with administrative aspects of DIPAE accreditation including:
- Data collection and document preparation
- Maintenance of accreditation records and timelines
- Support for site visits and annual reporting
- Ensure administrative processes align with accreditation standards and institutional policies
Office & Program Operations
- Support day-to-day operations of the graduate psychology office, including:
- Calendar management and scheduling
- Coordination of meetings, orientations, and training events
- Serve as a liaison between students, faculty, supervisors, and university offices (registrar, HR, financial aid, etc.)
- Assist with onboarding of new faculty and clinical supervisors (as needed)
- Contribute to continuous improvement of administrative workflows and procedures
Communication & Student Support
- Provide professional, timely, and student-centered communication via email, phone, and in-person
- Prepare and distribute program communications, handbooks, and procedural guides
- Demonstrate cultural sensitivity and professionalism when interacting with a diverse student body, including students in high-stress professional training contexts
- Ensure data accuracy, security, and confidentiality in compliance with GDPR and institutional policies
Qualifications
Education:
- A Bachelor’s degree in a field relevant of Social Sciences.
- A Master’s degree in a relevant field will be considered an advantage.
Experience:
Minimum 4 years of relevant working experience in an administrative role or in a support role in an Educational Institution.
Skills and Competencies:
- Professional fluency in English and Greek, including copywriting
- Ability to work independently, exercise judgment, and manage competing priorities, while also functioning effectively as part of a team.
- High attention to detail, strong organizational skills, and a proactive, problem-solving mindset.
- Excellent command of Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Strong technological literacy and ability to adapt to digital systems, databases, and online platforms.
- Excellent time-management and workload-planning skills.
- Strong interpersonal and communication skills, with the ability to build rapport with internal and external stakeholders.
- Ability to project a consistently professional image through personal presentation, discretion, and interpersonal conduct.
